What it is

The AI everyone means (ChatGPT, Copilot) is a brilliant brain. It reads, reasons and writes in seconds. It can also be confidently wrong, so a person checks what matters.

The big idea

A brain on its own can only talk. Give it a body and it does real work: senses to see your data, memory of your business, hands to act in your systems, and wiring to connect it. The brain is cheap now; the body, built for you, is the advantage.

The ladder, basic to advanced
  1. Quick wins (table stakes): drafting with AI, and connectors like CRM to Xero. Often already in your software.
  2. Company memory: a private assistant that has read your documents, so everyone gets the same right answer.
  3. Bridges where none exist: connect systems and portals that have no official integration.
  4. One screen instead of twelve: consolidate scattered portals into a single live dashboard.
  5. Work that carries itself: a whole multi-step job run end to end, with a person approving what matters.
Three rules to stay safe
  • Keep a human on anything that touches a customer, money or the law.
  • Never put confidential data into a free consumer chatbot.
  • Fix the process first. AI on a broken process just breaks faster.
How to start

Pick one job that's repetitive, frequent and low-risk if it's slightly off. Prove it. Measure it. Then climb the next rung. Don't boil the ocean.

The mindset

Hand the boring 30% to the machine. Keep your hands on the 70% that needs judgement.
